Admissions & Development Administrative Specialist

The College of St. Joseph the Worker is a Catholic institute of higher education that simultaneously trains students in the Catholic intellectual tradition and the skilled trades. We are looking for a detail-oriented Administrative Specialist to help support the growing needs of our Admissions and Development departments.

Position Summary:
The person who best fits this position has a high degree of attention to detail, communicates well (oral and written), adapts and transitions between needs quickly and efficiently, and easily translates direction into action. This person should demonstrate a thoughtful approach to best practices and standard operating procedures, realizing the need for both consistency and creativity. Furthermore, the ideal candidate is able to perform a variety of administrative tasks, including report generation, workflow design, database building/upkeep, and more. The position is located in Steubenville, OH. 

Roles and Responsibilities:

  • Assist with ongoing communication with applicants and students

  • Maintain student records, including academics, training verifications, policy sign-offs, etc.

  • Assist in building tradesman network by researching and contacting identified companies/individuals

  • Produce academic transcripts, enrollment verification letters, etc. in support of students 

  • Record and process incoming donations

  • Generate prompt donor acknowledgements and thank you letters, including creating special touches for donors who meet certain stewardship criteria (e.g. annual, lifetime, or legacy giving). 

  • Take primary responsibility for Raiser’s Edge database including maintaining accurate constituent records, generating reports and mailing lists, and creating tasks for follow up with donors.

  • Maintain and execute a calendar of communications that includes, at a minimum, a twice annual newsletter and monthly blast emails for benefactors to the college. 

  • Assist in scheduling travel arrangements. 

  • Other duties as assigned

Qualifications:

  • Faithfully Catholic, submits to Church authority in all Her teachings

  • Excellent communication and collaboration skills

  • Ability to operate independently with minimal direction/supervision

  • Attention to detail and the ability to manage multiple projects simultaneously

  • Strong time management skills and the ability to meet deadlines

  • Working knowledge of Blackbaud software is a plus
